how it works
Choose the type of appointment you would like through our scheduling app. Fill out the requested forms, and submit your payment. Please be honest on the forms, as this will give us some basic information about you and help us plan for your appointment. You will receive an email confirming you appointment. The email includes a link to Google Meet for your appointment with your coach or counselor. Make sure to save the email and use the Google Meet link when it is time for your appointment. Please feel free to email or text us with any questions you may have about scheduling or virtual appointments.

POLICIES
types of therapy and clients served
Listen Up Consulting offers counseling and coaching to adults, children, and adolescents, utilizing a variety of approaches, and professionals work with clients to establish appropriate goals for growth. Goals may change as counseling or coaching progresses. Client input is very important in establishing appropriate goals. Counselors and coaches will discuss with the client the recommended frequency of treatment or meetings. Counselors or coaches may refer a client to a medical doctor, testing facility, or another counseling agency for maximum care when deemed in the best interest of the client. The client is responsible for any and all costs incurred in regard to the respective agency. Listen Up Consulting cannot authorize or supervise the administration of medicines.
appointments
All clients see counselors and coaches by making an appointment. The frequency of the appointments will be decided between the client and the counselor or coach. Appointments are approximately 30-60 minutes in length. Regular attendance at sessions will produce the maximum results. However, it is at the counselor’s or coach’s discretion to discontinue at any time. If a client is more than fifteen (15) minutes late for an appointment the counselor or coach may not be able to see the client at that time, but the appointment can be rescheduled for another time.
The counselor or coach must be informed if the client decides to end their treatment. If 3 or more appointments are missed due to cancellations, reschedules or no shows, the counselor or coach will determine if the appointment can be rescheduled or the client must wait 3 months before calling back to request an appointment. If Listen Up Consulting has not heard from the client within thirty (30) days, the counselor or coach will close out the client's file. The client may return at a later date but may be placed on a waitlist.
the freedom of private pay
All services are offered as private pay. This means we do not partner with any insurance panels, and you pay out of pocket for our services. It is important you understand some of the benefits of private pay. Insurance companies have many people who examine your files at various stages through audit and payment authorization. By not involving insurance, your private information stays only with us. We are the only people who have access to it, except under special circumstances, as outlined in our informed consent. Insurance companies force you to choose a therapist from their preferred list of providers. Private pay allows you to select your therapist based on trust, connection, and area of expertise. When using insurance, they are the ones who determine the number of sessions and type of therapy they will pay for and can arbitrarily stop paying for sessions for a number of reasons. By utilizing private pay, we can choose the types of therapy or coaching that is best for you based on your specific needs and goals, not their set rules. Also, you are required to receive a mental health diagnosis in order for the insurance company to pay for your services. You may not want to share this diagnosis or be seeking a diagnosis while you are seeking treatment, and private pay allows you full autonomy over the privacy of your records. The value of private pay is that it provides you with true privacy, more personalized care, and does not impose the same limits as insurance. We have chosen to keep our fees affordable for this reason. However, if want to use your insurance, please let us know. You can request a superbill to submit to your insurance company to seek reimbursement from them for your payment to us if you are seeing Tara for counseling services, or we can try to help you find someone who takes your insurance. Coaching services are private pay only and are not subject to superbill availability.
court appearances
Listen Up Consulting counselors prefer not to go to court on behalf of clients. We ask that you not call on or use your counselor or his/her professional opinion in a court of law. Should we be subpoenaed or made to testify, court fees will apply. Even though you are responsible for these fees, it does not mean that the testimony will be presented in your favor. As a therapist, we can only testify to the facts of the case. Asking a therapist to provide confidential records or testify can damage the trust built in a counseling relationship with a client, especially if the therapy is still ongoing. Depending on the situation, the therapeutic relationship may have to be terminated after the testimony. If we are to receive a subpoena, the attorney or office staff will need to call and set up a time to serve the subpoena during office hours. We will request a minimum of 72 business hours notice of any court appearances so that schedule changes for our clients may be made within a reasonable timeframe.
Please note: If we receive a subpoena or notice to meet attorneys without a minimum of 72 hour notice, there will be an additional $250.00 priority charge.
If a subpoena is issued, the following fees are in effect:
1. Copy of files – $25.00 per file.
2. Court related phone calls, preparation time, depositions, filing documents with the court, time away from the office due to giving a deposition or testimony: $400.00 per hour
3. The minimum charge for a court appearance: $1500.00
A court retainer of $1500.00 is due at least 72 business hours before the scheduled court appearance. The remainder of cost will be billed after the court appearance and will be due upon receipt. If the therapist is subpoenaed and the case is reset with less than 72 hours notice prior to the beginning of the day of the scheduled subpoena, trial, and/or testimony is not given, then the client will be charged $500 in addition to the original retainer fee of $1500.00 for having to appear in court.
All fees listed above are doubled if the therapist has priorly been scheduled to be out of town at the time of the court appearance.
Bills are presented to clients on a weekly basis and payment is expected upon receipt. If a payment is not made within a 14 days of invoice being sent out, your credit card on file will be charged. A zero balance will need to be kept at all times.
emergency situations
Listen Up Consulting counselors and coaches are only available during regular business hours. If the client needs to talk to their counselor or coach, they should call and leave a message or email. Text messaging is not offered after hours. The counselor or coach will respond in a timely manner. If the client experiences a life-threatening emergency at any time during the course of their treatment, they need to call 911 or have someone take them to the nearest emergency room.
